Policies and Procedures

​

We are delighted to welcome you, our patient, to our clinic!

Our aim is to deliver patient-centered care in a supportive, inclusive environment with a multidisciplinary team approach to Family Medicine.

Please familiarize yourself with our office policies and procedures to ensure optimal patient care.

​

REGULAR VISITS:

Few patients realize that physicians spend a significant amount of time, in addition to direct patient encounter, meeting patients’ comprehensive care needs; thus, the time we can offer for a “regular” office appointment limits the number of medical issues that can be addressed during a single visit.

Secondary issues will be addressed if time permits. Otherwise, a follow-up appointment will be offered within a reasonable time frame

Complex medical issues: If you are travelling a long distance and/or believe that your concerns will require more time with the doctor, it is important for you to inform our receptionist so that an extended appointment can be booked as soon as possible.

Advise us if your visit is for a

  • work-related injury

  • motor vehicle injury

  • existing ICBC claim

  • FORM that needs to be filled

 

All requests are triaged by the receptionist and documented for primary medical concern(s). Specific information regarding your concern(s) is helpful for appropriate scheduling.

PRE-BOOKED APPOINTMENTS (PLANNED CARE):

Pre-natal and Post-natal care

Newborn care

Well baby visits

Well Woman examinations including pap smears

Men’s routine health screening

Driver’s medical examination

Chronic disease management, including hypertension, diabetes, COPD, heart failure and kidney failure.

Complete Examinations as requested by physician

SAME-DAY APPOINTMENTS:

We reserve several appointment slots per day to accommodate for urgent care. Help us help you by calling early for a same-day appointment.

TEST RESULTS AND FOLLOW UP SERVICES:

All test results are reviewed by the doctor. Patients will be called for a follow-up visit if laboratory or diagnostic tests are abnormal. However, we do believe follow up after an investigation is a shared responsibility and encourage you to actively participate in your care. Some results may be accessed through your E-health profile.

PRESCRIBING POLICIES:

If you have no repeats for a medication, let us know during your office visit and we will renew it. If a detailed medication review is appropriate, a dedicated follow-up visit will be scheduled.

An uninsured service fee will be charged for phone/fax prescription renewals at the discretion of the prescribing physician according to pre-determined fee schedules.

This office follows evidence-based guidelines for all prescriptions, including antibiotics, narcotics and medications for stress-related conditions.

INVESTIGATIONS:

Appropriate and current evidence-based guidelines direct all medical investigations.

REFERRALS TO SPECIALISTS:

Before any referral is arranged, patients must see the family doctor for pre-consultation information-gathering and investigations to facilitate a faster and more effective consultation.

PUNCTUALITY:

While our physicians strive to stay on time, it is occasionally not possible due to unexpected crises, both in office and at the hospital. We are happy to reschedule your appointment under these circumstances. Please come early, because parking can be a problem. We reserve the right to fit in or rebook patients who are late for appointments.

Missed or Cancellation Appointment Policy:

Our goal is to provide quality health care to all our patients in a timely manner. No-shows, late arrivals, and cancellations inconvenience not only our providers, but our other patients as well. Please be aware of our policy regarding missed appointments.

​

Appointment Cancellation:

When you book your appointment, you are holding a space on your providers calendar that is no longer available to our other patients. In order to be respectful, please call our office as soon as you know you will not be able to make your appointment. If cancellation is necessary, we require that you call at least 24 hours in advance. Appointments are in high demand, and your advanced notice will allow another patient access to that appointment time. If you need to cancel your appointment, please call us at 778-634-2525. If necessary, you may leave a detailed voicemail message. We will return your call as soon as possible.

Late Cancellations/No-Shows;

A cancellation is considered late when the appointment is cancelled less than 1 hour before the appointed time. A no-show is when a patient misses an appointment without cancelling. In either case, our clinic will charge the patient a minimum $50 missed appointment fee.

 

UNINSURED SERVICES:

​

Fees for medical services not covered by the provincial insurance plan, remain the responsibility of you, the patient. The fees assigned are as per the recommendations of the provincial medical association. Please find the updated fee schedule on our website or at the clinic.
